DashboardCreation.com is operated by AP Resourcing Ltd, company number SC448251, registered in Scotland. Our registered office is 201 Westland Drive, Glasgow, G14 9JQ.
This Privacy Policy explains how we use personal data for the DashboardCreation.com website and for hosted private dashboards and workflow systems provided to business customers.
Our role
For website enquiries, sales, billing, support, and direct communications, AP Resourcing Ltd is the controller of the personal data we collect.
For operational data that customers add to a hosted dashboard and workflow system:
- the customer is normally the controller;
- AP Resourcing Ltd acts as processor;
- the customer is responsible for having a lawful basis to add personal data to the service;
- the customer is responsible for providing any required privacy notices to clients, customers, staff, contractors, suppliers, tenants, landlords, or other individuals whose data they enter into the dashboard and workflow system.
Personal data we collect
For website and contact enquiries, we may collect:
- name;
- email address;
- company name;
- message content;
- anti-spam/security data from Cloudflare Turnstile.
For customer/dashboard and workflow system data, we may process:
- workflow records, tasks, jobs, requests, statuses, approvals, and notes;
- customer, client, staff, contractor, supplier, tenant, landlord, or other contact details, depending on the customer’s workflow;
- files, uploads, exports, reports, and imported spreadsheet data;
- communications, approvals, and audit or activity records.
For billing, payment details are processed by Stripe through UseQueue. We may receive billing status, invoice, subscription, and limited payment metadata, but we do not store full card numbers.
For website analytics, we use PostHog on the public website only. PostHog may collect usage data such as pages visited, referrer, device/browser information, approximate location, events, and identifiers such as cookies or similar technologies. We do not use PostHog to collect payment card details or intentionally collect sensitive personal data.
Customers must not upload unnecessary sensitive personal data or special category data to the service unless explicitly agreed in writing.
How it is used
We use personal data to:
- respond to enquiries and review potential workflows;
- scope, build, host, support, and maintain customer dashboard and workflow systems;
- manage customer requests through the request queue;
- process billing, subscriptions, invoices, and payment status;
- provide service, support, security, and account communications;
- maintain backups and operational records;
- understand public website usage and improve the service;
- comply with legal, tax, accounting, security, and dispute obligations.
We do not sell customer data.
We may send service emails where needed to respond to enquiries, manage billing, support, hosting, security, and customer requests. Marketing emails will only be sent where we have a lawful basis, such as consent or a permitted B2B soft opt-in, and recipients can opt out.
Cookies and analytics
The public website uses PostHog to understand website usage and improve the service. The contact form uses Cloudflare Turnstile and related security technologies to prevent spam and abuse. Third-party providers may set necessary security, payment, session, analytics, or request-management cookies when you use embedded forms, billing, or request-management services.
You can control cookies through your browser settings. If required by law, we will only use optional analytics cookies with appropriate consent.
Third-party providers
We may use third-party providers to host, secure, bill, support, and operate the service. These may include:
- Cloudflare for hosting, security, Turnstile, and form processing infrastructure;
- UseQueue for customer request management and billing flow;
- Stripe for payment processing;
- email providers for support communications;
- PostHog for public website analytics;
- hosting infrastructure providers.
International transfers
Hosted dashboard and workflow systems and related operational data may be hosted on infrastructure located in the United States. Some third-party providers may also process data outside the UK.
Where required, AP Resourcing Ltd will rely on appropriate safeguards such as adequacy regulations, standard contractual clauses, or equivalent transfer mechanisms.
Retention
Website and contact enquiry data is kept while handling the enquiry and then as needed for follow-up, records, legal claims, or accounting.
Customer/dashboard and workflow system data is kept while the customer has an active subscription or hosting/support plan.
After cancellation:
- customers may request a reasonable export of their data within 30 days after access ends;
- DashboardCreation may then begin deleting the hosted dashboard and workflow system and operational data;
- limited retention may continue where required for legal, accounting, security, backup, or dispute purposes.
Billing records are retained as required for tax and accounting. Backups are deleted on a rolling backup schedule and may not be removed immediately from every backup copy.
Security
DashboardCreation uses reasonable technical and organisational measures appropriate for a small hosted business service, including access controls, managed hosting, backups, maintenance, and security updates where applicable. No internet-connected service can be guaranteed completely secure.
Customers are responsible for:
- user access decisions;
- account security;
- the accuracy and lawfulness of data entered;
- promptly telling DashboardCreation about suspected unauthorised access or data issues.
Your rights
Depending on the circumstances and applicable law, individuals may have rights to access, correct, delete, restrict, object to, or receive a copy of their personal data.
If your data was entered into a customer dashboard and workflow system, the relevant customer may be the controller of that data. We may need to refer your request to that customer or ask them for instructions.
Changes to this policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new effective date. For material changes affecting active customers, we will take reasonable steps to notify them.
